Pre-Delivery Inspection Checklist
For Hired Equipment — No Surprises, 2027 Edition
NCA licensed equipment hire specialists with 15+ years experience. Every Trust Partners delivery arrives with signed condition reports, full documentation and certified operators.
Why Pre-Delivery Inspection Pays for Itself
The delivery moment is the only time the machine's condition is jointly witnessed before your money is committed. Skip the inspection and you inherit the machine's history — every scratch, leak and hour on the meter becomes your responsibility to disprove at off-hire. The waiver and insurance frameworks both lean on the condition report; the hire agreement's condition schedule is only as strong as the document you sign at delivery.
Documents and Identity Checks
- Delivery note: machine model, serial number and hour-meter reading — matching the quote exactly
- Condition report: presented for joint completion, not pre-filled in the office
- Operator certificates: for every crew member supplied, as per operator-inclusive packages
- Insurance confirmation: certificate reference or copy, per the vetting checklist
- Machine-specific documents: road licenses for machines that travel, load charts for cranes, operator's manual or quick-reference card
The 10-Minute Walkaround
- Structure: dents, cracks, bent handrails, damaged mirrors or lights — record every finding
- Leaks: fresh oil, hydraulic fluid or coolant under the machine — a delivery-day leak is the hirer's mobilization problem, not yours
- Undercarriage: track pads or tires — percentage wear recorded, cuts and missing pads photographed
- Attachments: bucket edges, teeth, breaker points — wear state noted against the wear schedule
- Glass and cab: cracked windows, seat condition, gauge faces
Systems and Function Checks
- Engine: starts cleanly, idles smoothly, no abnormal smoke after warm-up
- Hydraulics: cycle through the full range — smooth response, no jerking, no unusual noise
- Warning lights: all extinguish after start-up; any persistent light is a documented fault
- Brakes and steering: tested on machines that travel under their own power
- Attachment connection: seat the coupler and test hoses — attachment faults at delivery are the hirer's; at first use they become your downtime
Operator and Safety Equipment
- Fire extinguisher present, charged and accessible
- First-aid kit on board
- Reverse alarm, beacons and horn functional
- Seatbelts in every seat
- The operator walks the machine with you — a hirer whose operator disappears at inspection time is telling you something
Photographing Everything Right
- Wide shots of each side, front and rear, with the delivery vehicle in frame for context
- Close-ups of every recorded defect with a finger, pen or tape measure for scale
- The hour-meter reading, date-stamped
- Both parties in at least one frame — timestamped photos anchor the timeline
- Repeat the full set at off-hire — the two albums together are your dispute-proof evidence
Transport context for delivery day planning: our equipment transport logistics guide. The post-work counterpart to this checklist: the post-excavation site handover checklist.
When to Refuse Delivery
Refusal is a contractual right, not a confrontation — professional hirsers treat a documented refusal as routine quality control. Request a free consultation for delivery standards you can hold your suppliers to.
